Module 6: PMS Implementation Considerations

Emphasizing the implementation of a project management system (PMS), this portion of the PMS Resource Center (PMS) introduces basic implementation considerations for PMS software. The implementation considerations for the most commonly used project management software applications—Oracle Primavera, Microsoft Project, and Project Libre—are explored. Additionally, this portion of the PMS addresses frequently asked questions (FAQs) about the implementation of PMS software.

Once you have selected a project management system, what is the best way to implement the software within your organization? This module reviews practical implementation considerations for several major software suites within the project management field.

1. PMS Software Implementation Basics

The implementation of a project management systems (PMS) software application is a bounded initiative that has the specific deliverable outcome of provisioning the effective use of a project management application; thus, it should be managed as a project. The first step in initiating a PMS software implementation project is to establish a project charter with a statement of work that contains clear stakeholder expectations from which the implementation project’s scope is defined. Project management software applications are provisioned as either on-premises or cloud-based software-as-a-service (SaaS) solutions. The on-premises provision application has the additional requirements of downloading and installing the software application on a privately-owned IT computing system, which may be an individual PC or an enterprise network environment for single or shared use. Once installed, the project management software applications will likely require configuration option settings to customize its use for the specific requirements of the project management environment. The implementation considerations for the commonly used project management software applications of Oracle Primavera, Microsoft Project, and Project Libre are explored.

2. Oracle Primavera Implementation Considerations

The Oracle Primavera enterprise project portfolio management software application is provisioned both as an on-premises solution and as a cloud-based SaaS application. Moreover, Primavera offers specific industry and targeted solutions that go beyond facilitating on-time and within budget and scope projects, to support business outcomes that drive C-level strategic metrics and results.

The Primavera P6 Enterprise Project Portfolio Management (EPPM) application is promoted by Oracle as “the most powerful, robust, and easy-to-use solution for globally prioritizing, planning, managing, and executing projects, programs, and portfolios in asset-intensive industries.“  After having created an Oracle account on Oracle Cloud, the on-premises version of Primavera P6 Professional Project Management is available for download from the Oracle Software Delivery Cloud website.  Once at the Oracle Software Delivery Cloud website, use the search feature to select the Primavera P6 Professional Project Management products as illustrated in Figure 1 to add to your shopping cart.

After adding the “DLP: Primavera P6 Professional Project Management (Primavera P6 Professional Project Management)” and “REL: Primavera P6 Professional Project Management” to your shopping cart items, click the shopping cart icon for the next step to designate the appropriate platform/language options as illustrated in Figure 2 before continuing to accept the licensing Oracle Standard Terms and Restrictions.

Prior to performing the download, a list of selected software products is presented for selection confirmation as per the Figure 3 illustration. Additionally, participation in an Oracle Software Delivery Cloud Survey about the download experience is requested.

Once the installation zip-file packages are downloaded from Oracle, unzip them.

  1. Click on the application Setup file.
  2. Select “Typical” and click OK.
  3. Click Install to begin the installation process.
  4. After installation is complete, click OK.
  5. In Driver type drop-down list, select “P6 Pro Stand-alone (SQLite),” then click Next.
  6. Select “Add a new standalone database and connection.”
  7. Enter a new password to access the application.

The Oracle University offers a Primavera P6 learning center using a fully digital website that enables selection of the depth and style of training that suits individual needs based on video instruction, hands-on exercises, written job aids, and assessments.

Additionally, the YouTube video channel Tutomash offers a free Primavera P6 online tutorial series for beginners comprising an introductory overview about the “Primavera P6 Online Training Beginners Kit (BK)” and 11 short animated presentation videos each about various aspects of the Primavera P6 functionality.  Figure 4 presents an itemization of these training sessions.

3. Microsoft Project Implementation Considerations

Microsoft Project is recognized as the leading project and portfolio management software. Its built-in templates, familiar scheduling tools, and access across devices help project managers and teams get started quickly and execute projects with ease to stay productive. Microsoft Project is offered as cloud-based Software-as-a-Service solutions and on-premises solutions.  The on-premises solutions include  Project Standard edition, Project Professional edition, and Project Server with Project Web App (WPA) and SharePoint integration. The Project Professional edition is a collaborative project management application, which is offered on a 30-day trial basis.

The first step in downloading the Project Professional Trial is to establish an online account by supplying personal and business contact information (see Figures 5 and 6), followed by a non-robot confirmation (via text or email) process. Additionally, a prompt is presented to designate additional user access to the Project Professional Trial.

After successfully logging in with your account credentials, a prompt will be presented as per Figure 7 to initiate the Project software download process (use the install default settings).

The Project Professional software download process will copy, to the location designated, an installation setup file. Open the installation setup file and follow the prompts to complete the on-premises application installation. Located in your applications menu will be the Project 2016 icon, which can be used to launch the software application.

4. Project Libre Implementation Considerations

ProjectLibre is a free and open source project management software positioned as an alternative to Microsoft Project.  The ProjectLibre website promotes that it has been downloaded over 3,000,000 times in over 200 countries and has won InfoWorld "Best of Open Source" award. The ProjectLibre on-premises application is supported to operate on Windows, BSD, Mac, Solaris, and Linux. Additionally, The ProjectLibre installation requires Java version 6 or later (the latest version is the preferred prerequisite).

From the ProjectLibre website, select the download control, as depicted in Figure 8, which transfers to the SourceForge website to initiate the actual software download process as illustrated in Figure 9.

The SourceForge download process copies to a designated location the ProjectLibre-1.7 Microsoft installer (MSI) package for a Windows OS installation. After the ProjectLibre-1.7 MSI has been successfully downloaded, open the MSI file, which will prompt for acceptance of the license agreement. At the conclusion of the installation process, click on the Finish button to exit the setup wizard, thus completing the ProjectLibre installation process.

5. PMS Software Frequently Asked Questions (FAQs)

This portion of the project management system (PMS) resource center (PMSRC) addresses frequently asked questions (FAQs) as an initial go-to help for issues or questions about PMS software applications feature in the PMSRC.

The Oracle Software Delivery FAQs addresses topics related to the Oracle Software Delivery Cloud system. Figure 10 itemized FAQs about download and installation questions.
